Privacy Policy

Overview

TenLINK (operated as part of the TenFlow platform) helps agencies manage assignments, coordinate interpreters, and host remote workshops. We collect and process data needed to run dispatch, billing, and secure communication between agencies, contractors, and clients.

This policy describes how TenLINK handles data at rest and in transit. It applies to agency staff using TenLINK. Contractors on Ten99 have a separate, freelancer-focused policy without enterprise video clauses.

Storage & Security

Operational data (schedules, service profiles, job files, credentials) is stored in Google Cloud Firestore and Storage, encrypted at rest with AES-256. Web and API traffic uses HTTPS (TLS 1.2+). Agency tenants are isolated — your jobs and client records are not mixed into a shared CRM.

Shared job and dispatch views use masked contact labels. Raw phone numbers and email addresses are not the default on documents that peers see (Secure Handshake). Sensitive onboarding fields use agency-scoped paths and server-mediated access.

How We Process Data

TenLINK processes operational data to run scheduling, dispatch, billing, and secure communication. Processing is largely automated — designed so routine matching and contract ingestion do not require human review of sensitive organizational files.

Third-Party Services

TenLINK relies on certified infrastructure partners for storage, authentication, live video, and machine-learning workloads. These include Google Cloud (Firestore, Storage, Auth), Daily.co (realtime media), and Vertex AI (contract parsing and matching). Each partner operates under enterprise agreements appropriate to the data class in scope. Agency operational data remains tenant-isolated in TenLINK regardless of which subprocessors handle a given workload.

Autonomous Contract Parsing & Machine Data Isolation

To optimize organizational dispatch workflows, TenLINK utilizes autonomous background processing engines powered by secure machine-learning infrastructure (including Vertex AI integration).

• Data Scoping & Ingestion: When client requests or corporate service contracts are uploaded to the system, our automated algorithms parse the documentation strictly to isolate operational matching parameters—such as confirmation dates, scheduling times, location coordinates, required credentials, and assignment identifiers.
• Machine-Level Privacy Protection: This ingestion process is completely algorithmic. No human eyes review incoming organizational files or sensitive project documentation. All retrieved context is instantly placed securely behind enterprise account authentication layers.
• Enterprise Boundary Isolation: Machine learning models process requests within strict, isolated data boundaries. Data ingested by one agency directory is never shared with, processed by, or blended into the models or views of competing organizational tenants.

Live Video Transmission & Session Confidentiality (TenLINK Specifics)

For users operating within the TenLINK platform, live interactive video feeds, remote workshops, and virtual coordination sessions are powered by certified cloud infrastructure architectures (including Daily.co and cloud.io integration) that natively support HIPAA and SOC 2 Type II compliance frameworks.

• Data Stream Isolation: Live video transmissions are encrypted in transit using industry-standard protocols. Video sessions are ephemeral data streams designed strictly for real-time collaboration and are not recorded, cached, or permanently stored on our system servers unless explicitly requested, authorized, and configured by the corporate host under a separate signed enterprise agreement.
• Zero Unauthenticated Access: No video room links or active communication channels can be accessed publicly. All stream gateways are protected behind the primary account authentication layer. A user must be a validated, authenticated member of the respective agency directory to participate in or view a live session.

Visual Privacy in the Application

TenLINK mirrors the Ten99 visual privacy model: dashboard widgets that may expose financial or assignment counts can be masked until you deliberately reveal them; GPS and street-level locations stay hidden behind a click; and authenticated routes require a valid session before operational data loads.

When you enter a TenConnect live room, a secure waiting step keeps your camera and workspace hidden until you choose Join Secure Session.

Retention & Your Choices

Retention follows your agency's compliance mode (standard, HIPAA-oriented, or FERPA-oriented for education). Connect logs, handoff summaries, and caption retention are configured per mode. Agencies may request shorter retention where contracts allow.
